What data we collect, when, and why
We collect personal data only when you actively give it to us or when it is technically necessary for the website to function. We do not collect data through any covert means.
When you submit a contact form. We collect your name, email address, the organisation you represent if you provide it, and the content of your message. We use this data to respond to your enquiry and, if it leads to a commercial conversation, to manage the resulting relationship. The legal basis is your consent at the point of submission, and our legitimate interest in responding to commercial enquiries directed at our business.
When you download a media kit. We collect your name, email address, and the organisation you represent. We use this data to deliver the media kit, to follow up on the enquiry, and to understand which creators in our network generate brand-side interest. The legal basis is your consent at the point of capture.
When you book a meeting through our scheduling system. We collect your name, email address, the time you select, and any notes you choose to add. We use this data to hold the meeting and to follow up. The legal basis is your consent at the point of booking.
When you subscribe to our newsletter or content updates. We collect your name and email address. We use this data to send you the content you have subscribed to and to manage your subscription. The legal basis is your consent, which you can withdraw at any time.
When you visit our website. We collect technical data through cookies and similar technologies. This includes your IP address, browser type, device type, pages viewed, time spent on the site, and the website that referred you to us. We use this data to understand how the site is used and to improve it. The legal basis for strictly necessary cookies is our legitimate interest in operating the site. The legal basis for analytics cookies is your consent through our cookie banner. See our Cookie Policy for the full detail.
Who has access to your data
Your data is accessed by Green Dopamine staff who need it to do their work. This includes our founder and team members involved in commercial conversations, content production, and operations.
We share your data with categories of third-party service providers that help us operate:
- Customer relationship management. We use a CRM platform to manage commercial enquiries, contacts, and pipelines.
- Analytics. We use a web analytics tool to understand site usage.
- Hosting and infrastructure. Our website is hosted on cloud infrastructure with EU data residency.
- Scheduling. We use a meeting scheduling tool to manage bookings.
- Email and social scheduling. We use tools to manage email communication and social media posting.
The current specific list of service providers we use, with links to their own privacy notices, is published at greendopamine.eu/cookie-policy. We update that list whenever our tooling changes.
We do not sell your data. We do not share your data with advertisers or data brokers. We share data with the categories above only to the extent each provider needs it to perform the service.
International data transfers
Where possible, your data is held within the European Economic Area. Some of our service providers are headquartered outside the EEA, primarily in the United States. Where data is transferred outside the EEA, we rely on the European Commission’s Standard Contractual Clauses or other lawful transfer mechanisms recognised by the GDPR. Specific transfer details are listed in our Cookie Policy alongside each named service provider.
How long we keep your data
We keep your data for as long as we need it for the purpose we collected it, and no longer.
- Financial records, invoices, signed contracts, and other data with a tax or commercial-law retention obligation: seven years, in line with Dutch tax law (Algemene Wet inzake Rijksbelastingen Article 52) and the Dutch Civil Code (Article 2:10).
- Active client and partner records: for the duration of the commercial relationship, plus seven years after closure.
- Inbound enquiries that do not convert to a commercial relationship: two years from the date of last contact, after which the data is deleted or anonymised.
- Newsletter subscriptions: until you unsubscribe, then deleted within 30 days.
- Analytics data: 14 months from the date of collection, in line with our analytics tool’s default retention.
If you ask us to delete your data and we have no legal obligation to keep it, we will delete it. See Your Rights below.
Your rights
Under the GDPR you have the following rights in relation to your personal data. To exercise any of them, contact us at support@greendopamine.eu. We will respond within one month, and if the request is complex we will let you know and may extend that period by up to two further months.
Right of access. You can ask us what personal data we hold on you and receive a copy of it.
Right to rectification. You can ask us to correct any personal data we hold that is inaccurate or incomplete.
Right to erasure (the “right to be forgotten”). You can ask us to delete your personal data where it is no longer necessary for the purpose we collected it, where you have withdrawn consent, or where we have no other legal basis to keep it. Note that we cannot delete data we are legally required to retain, such as financial records during the seven-year tax retention period.
Right to restrict processing. You can ask us to stop processing your data while a dispute or correction request is being resolved. The data is held but not used.
Right to data portability. For data you have provided to us directly and that we process on the basis of your consent or a contract, you can ask us to provide it to you in a structured, machine-readable format, or to transmit it to another organisation you nominate.
Right to object. You can object to processing where we rely on legitimate interest as the legal basis, including direct marketing. If you object to direct marketing, we will stop immediately.
Right to withdraw consent. Where processing is based on your consent, you can withdraw that consent at any time. Withdrawal does not affect the lawfulness of processing that took place before the withdrawal.
Right to lodge a complaint. If you are not satisfied with how we have handled your data, you can complain to the Dutch Data Protection Authority (Autoriteit Persoonsgegevens) at autoriteitpersoonsgegevens.nl. We would prefer the chance to address the issue first, but you can go directly to the authority at any time.
Children
This website and the services it describes are intended for commercial and professional audiences. We do not knowingly collect personal data from anyone under 16. If you believe we have collected data from a child, contact us at support@greendopamine.eu and we will delete it.
Changes to this policy
We may update this policy from time to time. When we make material changes, we will update the “Last updated” date at the top and, where appropriate, notify you directly. The current version is always available at greendopamine.eu/privacy-policy.
